Receptionist/ Administrative Assistant

Place within the Business

Your role will report to the Office Manager and you will sit in the Operations Team under the leadership of the Chief Operating Officer.

Key Responsibilities


  • Representing the business with a positive attitude and professional manner.
  • Greeting guests upon arrival and making sure they are signed in/ out of the visitor book.
  • Answering all incoming calls in a professional manner- relaying of messages from callers in an efficient and accurate way.
  • Providing meeting room support. We encourage our people to book their own meeting rooms and provide refreshments for their own clients, but this role may include assisting with this if needed.
  • Assisting with any issues related to IT equipment or meeting room facilities in a timely manner and liaising with our IT support provider on any issues as necessary.
  • Post/ Courier point of contact for the team – maintenance of reports and logs where necessary.
  • Conducting a daily walk through of the office space in both the morning and evening to ensure working environment is in order using the Reception Floor Walk Schedule.
  • Ensuring all deliveries are received and accurately recorded.
  • Managing and maintaining stationary, kitchen and general office supplies within the office.
  • Identifying, monitoring, and mitigating risks in relation to your job role, escalating where appropriate.

Company Fire Safety Officer

  • Act as the appointed company Fire Safety Marshall.
  • In the event of a fire evacuation, the Fire Marshall will be responsible for ensuring an efficient evacuation of the office space.
  • Ensuring fire extinguishers are correctly positioned, tested, and stored appropriately


  • Assist with diary management and travel arrangements for senior and wider team when required.
  • Assist the Office Manager with tasks as and when required.
  • Assist with website maintenance.
  • Creation and formatting of reports for wider team when required.
  • Support with event organisation, including office social events.
  • Assist with coordination of internal and external communications.
  • Support with any other office duties and group initiatives as necessary and required.


Essential Qualities

  • Focus on attention to detail and ability to multi-task.
  • Willingness to tackle challenges to solve problems.
  • Good knowledge of Microsoft Office software (Word, Excel, PowerPoint, Outlook).
  • Must be able to manage time efficiently and to proactively manage own workload.
  • High degree of flexibility and a willing ‘can do’ approach to all tasks.
